QuoteSnap is the data controller for the personal information collected through the QuoteSnap mobile application and related services.

2. DATA WE COLLECT

We collect and process the following types of data when you use QuoteSnap:

Account information	Your name and email address, used to create and manage your account.
Business profile	Your business name, address, phone number, VAT number, and logo (if provided). Used to populate your quotes and invoices.
Customer records	Names, addresses, email addresses, and phone numbers of your customers. You enter this data to create quotes and invoices.
Quotes and invoices	The documents you create, including line items, amounts, dates, and notes.
Payment data	Subscription payment processing is handled by Stripe or Apple. We do not store your credit card or debit card details. We receive confirmation of payment status from these providers.
Usage analytics	Basic usage data such as which features you use, app version, device type, and crash reports. This helps us improve the app.

3. HOW WE USE YOUR DATA

We use your data to:

Provide the QuoteSnap service — creating, storing, and generating your quotes and invoices.
Manage your account and authenticate your identity.
Process your Pro subscription payments through Stripe or Apple.
Send you important service notifications (such as changes to our terms or security alerts).
Improve the app based on usage patterns and crash reports.
Provide customer support when you contact us.
Enforce our Terms of Service and protect against misuse.

We will never sell your personal data to third parties. We will never use your data for advertising purposes.

4. LEGAL BASIS FOR PROCESSING

Contract performance — Processing your account information, business profile, customer records, and documents is necessary to provide you with the QuoteSnap service you signed up for.
Legitimate interest — We process usage analytics to improve the app and maintain service quality. We have assessed that this does not override your rights and freedoms. You can opt out of non-essential analytics through the app settings.
Legal obligation — In some cases, we may need to process your data to comply with a legal obligation (for example, responding to a lawful data access request).

5. THIRD-PARTY SERVICES

QuoteSnap uses the following third-party services to operate:

Firebase Authentication (Google)

We use Firebase to manage your account sign-in securely. Firebase processes your email address and authentication credentials. Firebase is operated by Google and is subject to Google's privacy policy.

Stripe

If you subscribe to Pro on Android or via the web, your payment is processed by Stripe. Stripe is PCI DSS Level 1 compliant — the highest level of payment security certification. We never see or store your full card number. Stripe processes your payment details in accordance with Stripe's privacy policy.

Apple (In-App Purchase)

If you subscribe to Pro on iOS, your payment is processed by Apple through their In-App Purchase system. Apple handles all payment details. We receive only a confirmation of your subscription status.

Each of these providers has their own privacy policy and data handling practices. We have chosen providers that maintain high standards of data protection and security.

6. DATA STORAGE AND SECURITY

Your data is stored on servers located in the United Kingdom and European Union. We take the security of your data seriously and implement appropriate technical and organisational measures to protect it, including:

All data is encrypted in transit using TLS (HTTPS).
Data at rest is encrypted on our database servers.
Access to production systems is restricted and authenticated.
We conduct regular security reviews of our infrastructure.
Authentication is handled by Firebase, which provides industry-standard security.

While we take all reasonable steps to protect your data, no system is completely secure. If we become aware of a data breach that is likely to affect your rights and freedoms, we will notify you and the Information Commissioner's Office (ICO) without undue delay.

7. DATA RETENTION

We retain your data for as long as your account is active and you continue to use QuoteSnap.

If you delete your account, we will delete your personal data and all associated content (quotes, invoices, customer records) within 30 days. Some data may be retained for longer where we have a legal obligation to do so (for example, transaction records required for tax purposes).

If your account is inactive for an extended period, we may contact you before taking any action regarding your data.

Our website (quotesnap.co.uk) uses only minimal, session-based cookies that are strictly necessary for the website to function. We do not use tracking cookies, advertising cookies, or any third-party cookie-based analytics on our website.

10. CHILDREN

QuoteSnap is designed for use by tradespeople and business professionals. The app is not intended for anyone under the age of 18.

We do not knowingly collect personal data from anyone under 18. If we become aware that we have collected data from a person under 18, we will delete that data promptly. If you believe a child has provided us with personal information, please contact us at hello@quotesnap.co.uk.

11. CHANGES TO THIS POLICY
